The Challenge
Summit CPA handles tax preparation and advisory services for hundreds of local businesses. During tax season, they struggled with manual document collection, getting client signatures, and answering endless email status queries. Clients felt overwhelmed by generic cloud folders and found uploading secure tax papers confusing.
The Strategy
We designed a secure, friendly, mobile-first Client Portal. The core idea was to replace intimidating directories with a simple, guided checklist. Instead of uploading random files to a generic folder, clients are guided step-by-step: "Upload W-2 Forms", "Sign Engagement Letter", and "Review Draft Return".

Business Operations & Integrations
Tax document security is critical. The portal uses industry-standard tools to keep files safe and keep operations efficient:
- AWS S3 & Key Management Service (KMS): Uploaded customer tax files are encrypted at rest using unique KMS keys. Strict AWS IAM policies guarantee that only authorized CPAs can access documents.
- DocuSign eSign API: Integrates legal document workflows directly. When the draft return is approved, clients click to sign their tax forms inside the portal.
- SendGrid Secure Emails: Sends temporary secure login links (passwordless authentication) to keep user accounts secure and prevent password-leaking vulnerabilities.
The Outcome
Document preparation turnaround times dropped by 80%. Summit CPA staff no longer need to manually chase down documents via email, as the portal automatically notifies and nudges clients about pending checklist tasks.
